Executive Assistant
Job description
Forterra seeks an experienced Executive Assistant to provide high-level support in a fast-paced, high-growth environment. This role is responsible for managing complex priorities, anticipating needs, and ensuring leaders can operate efficiently and stay focused on the highest-impact work. The Executive Assistant will serve as a trusted partner, managing calendars, travel, meetings, communications, and day-to-day coordination while helping drive follow-through across a wide range of priorities.
Job responsibilities
- Provide high-level executive support, serving as a trusted partner and helping manage competing priorities in a fast-moving environment.
- Own complex calendar management, proactively prioritizing meetings, resolving conflicts, protecting focus time, and ensuring schedules reflect the most important business priorities.
- Coordinate domestic and international travel, including flights, accommodations, ground transportation, itineraries, and last-minute changes.
- Anticipate needs and proactively address issues before they become problems, using sound judgment to determine when to act independently and when to escalate.
- Plan and coordinate meetings, leadership sessions, offsites, customer engagements, and other events, ensuring logistics and materials are handled from start to finish.
- Prepare leaders for meetings and engagements by coordinating agendas, materials, background information, and other relevant context.
- Track commitments, decisions, and follow-ups to help ensure priorities continue moving forward.
- Serve as a key point of coordination across teams, helping facilitate communication and maintain alignment among internal and external stakeholders.
Job requirements
- 3+ years of experience supporting senior executives in a fast-paced environment
- Demonstrated experience managing complex executive calendars and travel
- Exceptional organization, attention to detail, and ability to manage competing priorities
- Strong written and verbal communication skills
- Sound judgment and ability to operate independently while handling confidential information
- Proficiency with Outlook, Slack, PowerPoint and other productivity tools
